The start of the new year can come with mixed feelings. For some, it’s an exciting time filled with possibilities; for others, it might be daunting.
All entrepreneurs and leaders face overwhelm at some point; in fact, it’s one of the most common feelings next to the “rollercoaster on fire”.
Overwhelm can manifest in various forms - from losing the joy in your work to struggling with decision-making due to high anxiety levels or decision fatigue. It often stems from unrealistic expectations, taking on too much, self-imposed pressure, perfectionism, a need for control, and overachievement.
Strategies to Overcome Overwhelm
1. Brain Dump: Clearing the Mental Clutter
A brain dump involves transferring all your thoughts onto paper or a digital format. This process helps declutter your mind, release emotions, and gain clarity. In his book "Building a Second Brain", Tiago Forte promotes the idea that the brain’s primary functions are to do cognitive work and generate ideas, not store information. He goes on to provide suggestions on how to improve your mental capacity - I highly recommend it. In my practice as a consciousness coach, I invite my clients to conduct a consciousness inventory; this process allows you to figure out what is useful and what is not and helps you decide how to handle each item.
2. Prioritising with the 3 Ds Method
- Delete: Evaluate the necessity of each task. We often take on tasks that sound like great ideas but don't add value to the business or help us get closer to our BHAG.
- Delegate: Determine if you need to handle the task personally. The rule of thumb here is to do what you are great at and delegate everything else.
- Delay: Assess if the task can be postponed. Sometimes, the task may be necessary, but postponing it will not impact the result but will give you some much-needed space.
3. The Tim Ferris Method for Efficient Prioritisation
This method involves identifying activities that yield significant results and positive emotional states, eliminating energy drainers, and simplifying tasks for effectiveness.
4. Proactive Planning
Structuring your day or week in advance can significantly reduce feeling overwhelmed. A great rhythm to cultivate in your business would be to conduct one strategic planning session per year, 3 quarterly planning and review sessions and 8 monthly planning meetings.
5. Pause and Reflect
Remember, motion manages emotion. Taking breaks is crucial for mental clarity and emotional stability. Take a walk or jump for 60 seconds on a rebounder; whatever you prefer, just get moving. You will notice that you have renewed energy and focus.
6. Addressing Negative Thoughts
Challenge your thoughts by asking if they are accurate, reasonable, and helpful. In his book, “Winning the War in Your Mind,” Craig Groeschel describes in detail the process of rewiring your thoughts. In short: “Identify the lies your enemy wants you to believe. Recognise and short-circuit your mental triggers for destructive thinking. Identify the Truth, replace the lie” (Groeschel, 2021)
7. Conscious Time Management
Use tools like TogglDesktop to track and manage your time effectively.
8. Selective Information Consumption
We are bombarded with information all the time. More is not always better. Be strategic about the information you consume to avoid information overload. Silence notifications on your phone, when you need to focus set a timer and switch everything else off, that way, you will not have any unwanted interruptions.
